Shipping Protection Policy

We know that shipping can be unpredictable, especially with products of this nature, so we offer Shipping Protection as an optional add-on service to give you peace of mind. If something goes wrong, we’ll work directly with you to make it right. No third-party insurers, no police reports, and no jumping through unnecessary hoops.

Shipping Protection covers the specific order it was purchased with and provides a one-time resolution if an issue occurs during transit.

What’s Covered

Your order is covered if you experience any of the following:

  • Lost in Transit
    Your package stops moving and never arrives.

  • Damaged Item(s)
    Your items arrive broken or unusable.

  • Missing Package
    Tracking shows delivered but you did not receive it.

What’s Not Covered

To keep Shipping Protection affordable for the community, there are a few things it doesn’t cover:

  • Incorrect Address
    Problems caused by incorrect, incomplete, or outdated shipping information provided at checkout.
  • Cosmetic or Non-Functional Damage
    Damage to outer packaging or materials that does not affect the usability or integrity of the contents. This includes minor tears, holes, moisture exposure, or cosmetic damage where the items themselves remain intact and usable.
  • Customs Delays or Rejections
    Packages held by customs or marked as Seized, Prohibited, Rejected, or Destroyed.
  • Untracked Mail
    Orders shipped via stamped or untracked methods.
  • Late Claims
    Claims submitted outside of the reporting windows listed below.

When to File a Claim

We allow reasonable time for carriers and customs to sort out delays. Here’s when you can submit a claim:

Lost Packages

  • U.S. Orders
    After 7 consecutive days with no tracking movement.
  • International Orders (Standard Shipping)
    After 40 days from the ship date, provided there has been no movement for at least 10 days.
  • International Orders (Expedited Shipping)
    After 14 days from the carrier quoted delivery date, provided there has been no movement for at least 10 days.
  • All lost package claims must be submitted within 60 days of the ship date.

Damaged Items

  • Must be reported within 5 days of delivery. Please keep all packaging and take clear photos of the damage.

Missing Packages

  • Packages marked delivered but not received must be reported within 15 days of the delivery scan.

  • 5-Day Wait Period: Occasionaly carriers will scan packages early or accidentally leave them with a neighbor so there is a 5 day wait period before a Missing Package claim can be submitted. The majority of missing packages show up within this window.

How to File a Claim

Our goal is to make this as easy as possible for you. If you believe your order qualifies, just contact support@panaeoluscoop.com with your order number and claim type.

What we’ll need from you:

  • For Damage Item(s)
    Clear photos of both the packaging and the item(s).

  • For Missing Packages
    We’ll ask you to sign a Statement of Non-Receipt confirming the package was never received.

We trust our community, but please note that providing false information on these statements is considered mail fraud and will result in a loss of coverage and shop access.

How We’ll Make It Right

Once your claim is approved, we will:

  • Send a Replacement
    At no extra cost, or

  • Provide a Refund or Substitution
    If your original item(s) are no longer available, you can select any item of equal value or request a refund.

Important Notes

  • Replacement Orders
    Replacements are sent using Standard Shipping. If you originally selected Express shipping and want to upgrade your replacement, we can do that, you’ll just need to pay the difference.

  • International Reshipments
    Depending on your location and the type of claim, we may recommend sending your replacement via stamped mail so it bypasses customs. This helps prevent the issue your first package experienced.

  • Coverage Limit
    Shipping Protection covers one replacement attempt per order, with a maximum coverage value of $500. If a replacement shipment is also lost, damaged, seized, or stolen, coverage for that order is considered complete.

Most insurance companies don’t provide coverage for plants, seeds and spores. By handling shipping protection directly, we can:

  1. Process claims quickly

  2. Protect your privacy (no police reports required).

  3. Cover specialized items that traditional insurers typically exclude.

Shipping Protection isn’t regulated insurance, it’s an optional service we provide because we care about getting your orders to you safely.
